About the Department of Foreign Affairs and Trade

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas. The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the Position

Under limited direction, the Consular and Corporate Services Officer provides a range of consular, passport and notarial services at the Australian Embassy in Denmark. The position also performs a range of corporate enabling services and provides backup support to the Corporate Services Manager as required.

Key responsibilities of the position include but are not limited to:

  • Provide high level consular, passports and notarial services to Australian citizens in Denmark and countries of accreditation (including Greenland, Faroe Islands, Norway and Iceland) in accordance departmental guidelines and provide timely advice and reporting on consular and passport cases.
  • Manage complex and often highly sensitive consular cases, provide on the ground assistance to consular clients, including, but not limited to, prison and hospital visits.
  • Develop and assist to deliver contingency planning exercises, draft Crisis Action Plans and Travel Advice for Denmark and countries of accreditation.
  • Supervise the Consular & Passports Officer in the delivery of consular and passport services including establishing priorities, monitoring performance, providing regular feedback and identifying learning opportunities.
  • Develop and maintain an extensive network and strong relationships with a broad range of external stakeholders, including government, local authorities, diplomatic missions, and service providers and build a strong rapport with internal stakeholders in the region and in Canberra.
  • Contribute to maintaining the Embassy’s budget and financial reporting and undertake high value procurement in accordance with financial policies.
  • Assist the Corporate Services Manager to deliver high-quality corporate enabling services including calculating and processing travel advances and accounts for payment.
  • Assist the Post Security Officer to implement appropriate security measures for the Embassy and residential properties, prepare annual and security incident reports, and ensure new and existing staff are aware of security procedures and messages.

Qualifications/Experience

  • Fluency in written and spoken English and Danish (knowledge of Norwegian and/or Icelandic language would be beneficial) along with an ability to communicate effectively.
  • Sound interpersonal skills and demonstrated experience working in a client service or similar role.
  • Ability to adapt and respond effectively to challenging and unforeseen events and crises. Experience in crisis management would be an advantage.
  • Capacity to build productive working relationships with a broad range of clients and stakeholders and an ability to assist people facing difficult and sensitive situations.
  • Ability to exercise discretion and judgement, manage competing priorities and work flexibly to meet time sensitive deadlines.
  • The ability to acquire an understanding of the guidelines, policies and legislation governing the provision of consular, passport and notarial services.
  • Sound knowledge of local laws and customs, government agencies, local authorities, and social services.

Selection Criteria

A. Effective judgement, decision making and problem-solving skills with demonstrated ability to apply legislation and policies.

B. Excellent communication and interpersonal skills including the ability to communicate empathically and clearly, in Danish and English, with people from diverse backgrounds in person, over the telephone and in writing; this includes managing high-stress and sensitive situations.

C. Well-developed planning and organisational skills and the ability to manage multiple priorities and meet deadlines in a high volume, client-focused environment.

D. Ability to work effectively with other team members, demonstrating flexibility, reliability, and initiative.

E. Proficiency with Microsoft Outlook, Word and Excel. High level of IT literacy with the ability to manage an electronic records management system, ensuring on-going compliance with policy guidelines.
